Understanding the Haveaspot Cancellation Policy

Haveaspot operates a standardised Cancellation Policy that applies to every booking made on the platform. As a Venue, you are required to comply with this policy — you cannot set your own separate cancellation terms.

Understanding how refunds work under the policy is important so you know what to expect if a Booker cancels, and so you can communicate clearly with Bookers.

The amount refunded to the Booker depends on when they cancel, relative to the event date.

When the Booker cancelsHire Cost refund to Booker
Within 48 hours of booking confirmation AND event is more than 14 days away100%
More than 14 days before the event100%
7–14 days before the event50%
Less than 7 days before the event0%

If a Booker cancels within 48 hours of confirming the booking, and the event is more than 14 days away, they are entitled to a full refund of the Hire Cost. This grace period applies regardless of how far in the future the event is, provided the 14-day condition is met.

The Haveaspot Booking Fee (paid by the Booker on top of your Hire Cost) is separate. Refund of the Booking Fee is governed by Haveaspot’s own terms with Bookers and does not affect your payout position.

Bookers can request to reschedule a booking rather than cancel it. See Can a Booker Reschedule a Booking? for how this works.

Yes — you can issue a discretionary refund above what the policy requires. However, you remain liable for the Haveaspot Booking Fee regardless. See Can I Issue a Discretionary Refund to a Booker?.

If you cancel a confirmed booking, the Booker receives a 100% refund of the Total Fee. You will also owe Haveaspot the Booking Fee plus VAT. See What Happens If I Cancel a Confirmed Booking?.
