What Happens If I Cancel a Confirmed Booking?

Cancelling a confirmed booking as a Venue has serious consequences — both for the Booker and for your account. It is important to understand these before taking any action.

If you cancel a confirmed booking:

  • The Booker receives a 100% refund of the Total Fee they paid — this includes both the Hire Cost and the Haveaspot Booking Fee
  • You become liable to pay Haveaspot the Haveaspot Booking Fee plus VAT — this is a direct financial obligation to Haveaspot, not the Booker

In short, a venue cancellation costs you the Booking Fee, even though you received no income from the booking.

Haveaspot will recover the outstanding Booking Fee (plus VAT) through the following steps:

  1. Automatic debit — Haveaspot will first attempt to debit the amount directly from your Stripe Connect Account
  2. Bank account debit — if the refund to the Booker causes a negative balance on your Stripe account, Stripe is authorised under your Stripe Connected Account Agreement to debit your linked bank account directly to recover that shortfall
  3. Right of set-off — Haveaspot may also withhold any amounts owed from your future payouts
  4. Direct invoice — if the above steps are insufficient, Haveaspot will issue you a direct invoice payable within 30 days
  5. Debt recovery — failure to pay an invoice may result in suspension of your account and formal debt recovery action

Bookers rely on confirmed bookings to plan their events. A last-minute cancellation by a Venue can cause significant disruption and harm Haveaspot’s reputation as a reliable platform. The cancellation policy is designed to incentivise Venues to honour their confirmed bookings.

Can I ever terminate a booking once it has started?

Section titled “Can I ever terminate a booking once it has started?”

There are limited circumstances in which you can end a booking early — for example, if the Booker has misrepresented their event, is creating a safety risk, or is in serious breach of your House Rules. This is different from a cancellation and is handled separately. See Can I End a Booking Early or Ask a Booker to Leave?.

Haveaspot monitors Venue conduct on the platform. A pattern of cancellations — particularly at short notice — may result in your listing being suspended or your account being terminated.

If you are facing a situation that may force you to cancel — such as a maintenance issue or unforeseen closure — contact Haveaspot at support@haveaspot.com as early as possible. The sooner you raise the issue, the better the outcome is likely to be for all parties.
